Guidance on Correct RR No./Parcel Way Bill (PWB) Entries in the EWB System Post PMS Integration
The Indian Railways’ Parcel Management System (PMS) is now seamlessly integrated with the E-Way Bill (EWB) system through Application Programming Interfaces (APIs). This advanced integration ensures efficient data transfer of Railway Receipt Numbers (RR Nos.) or Parcel Way Bill (PWB) details from Railways to the e-way bill portal, improving traceability and compliance. Taxpayers transporting goods via rail need to adhere to specific guidelines for entering the RR Nos./PWB numbers in the EWB system.
1. Applicability of RR No./PWB Entry in the EWB System
When goods are transported using the Indian Railways PMS, taxpayers must ensure that the correct Parcel Way Bill (PWB) number or RR number is recorded in the Part-B section of the e-way bill. A standardized format has been introduced for consistency and accuracy in entering these numbers.
2. Updating Part-B of the EWB for Rail Transport
If you’re transporting goods via rail using the Parcel Management System, follow these steps to update Part-B of the EWB:
- Access the “Multi-Transport Mode” option on the EWB portal.
- Choose Rail as the mode of transportation.
- Enter the corresponding RR No./PWB number when prompted by the system.
3. Format for Entering RR No./PWB Numbers
To avoid validation errors, ensure the Parcel Way Bill number is entered in the format below:
PXXXRRNo
- P denotes the Parcel Management System.
- XXX refers to the originating station code.
- RRNo is the Railway Receipt number.
For example, if the Railway Receipt number is 2020-307306 and the originating station is Nizamuddin (NZM), the entry would be PNZM2020-307306.
4. RR Numbers for FOIS or Leased Wagons
For goods transported through the Freight Operations Information System (FOIS) or Leased Wagons, the RR number entry remains unchanged. Enter the Railway Receipt number exactly as provided on the receipt, without any alterations.
5. EWB and RR No./PWB Number Validation
Once the RR No./PWB number is entered into the EWB system, it will be validated against the data provided by Indian Railways through PMS:
- If the number matches, the EWB will be generated without issues.
- In case of any mismatch, an alert will be raised. Therefore, ensuring the correct entry of RR numbers is crucial to prevent discrepancies and avoid delays.
6. Importance of Accurate Entry
Accurate entry of RR Nos./PWB numbers allows for seamless tracking, better verification, and smoother movement of goods. Incorrect or mismatched entries can cause delays in validation and may result in compliance issues.
7. Support and Assistance
If taxpayers encounter any discrepancies or issues when entering RR Nos./PWB numbers, they can raise a support ticket through the EWB portal, providing the RR number details for quick resolution.

We urge all users to adhere to these guidelines to ensure a smooth and compliant e-way bill generation process.
